  1. Know your topic :  Presentation should be as per the topic chosen by you.
  2. Do not write too much : Content of presentation should be in simple language and to the point.
  3. Don’t overuse animation : Overuse of animations should be avoided.

1. Rehearse the slide show to make sure that presentation gets over on time.

He can use speaker notes by typing in the notes pane provided below the slides pane and then select the use presenter view on the slide show tab during the presentation wherein the notes will be visible to her and not to the audience.

He can use the spell check and thesaurus feature of power point . In the review tab, click on the spelling option and choose the correct spelling from the displayed list in the spelling dialog box. To check for vocabulary, they can select the word, right-click on it and choose either the synonym/ thesaurus option to get alternative suggestions.

20. Ramita has created a power point presentation on the home PC for her office in which she has embedded sound, videos, and hyperlinks. She has to present the data in an outside venue and wants to ensure that she has copied all the files linked to the presentation on a CD and the fonts which she has used are available. Which options of power point can she use ?

From the File tab she can click on the save & send option from the backstage view. Select package presentation for CD option and click on the package for CD button to open the package for CD dialog box. Add files in the Files to be copied list and click on the copy to CD button and then close button.

21. Ayush and Aryan are collaborating on a project where they are preparing a presentation on various activities, their class has performed in the year. They are working at it home and wish to share their suggestions with each other about the points in their presentation before making any changes. Suggest the options in power point that they can use ?

They can use the comments feature of power point. From the the review tab, in the comments group, click on the new comment option and type their comment.

22. Write steps to insert a movie clip in a presentation?

There are 3 ways in which videos can be added to a presentation :

  1. Inserting a video from a file.
  2. Inserting a video from ‘Clip Art Video’.
  3. Inserting a video from Layout.

INSERTING A VIDEO FROM A FILE

  • To insert a video from a file on your computer, follow the given steps :
  • Open the power point presentation.
  • Select the slide in which you want to insert from a file on your computer.
  • Click on the drop-down arrow of the video option in the Media group on the Insert tab.
  • From the drop-down list select the video from file option.
  • Locate and select the desired video file, then click on the insert button.

INSERTING A VIDEO FROM ‘CLIP ART VIDEO’

  • Open the power point presentation.
  • Select the slide in which you want to insert the video or insert a new slide.
  • Click on the drop-down arrow of the Video option in the Media group on the insert tab.
  • From the drop-down list select the Clip Art Video option.
  • The clip art pane is displayed at the right of the window showing the movie clips that are available.
  • We can select the clips which are displayed either by scrolling down or searching for a specify video. To search the clip in the search box, type the word or phrase describing the video clip that you wish to insert and then clip on Go.
  • The video clips matching your search phrase will be displayed below.
  • Click on the clip of your choice.
  • It will be inserted in the presentation.

INSERTING A VIDEO FROM LAYOUT

  • Open a new file by using the presentation software and change the layout of the slide by clicking on the layout option available under the Slides group in the Home tab. A drop-down list appears as show below in the Figure 5.1.6.
  • Select the Title and content option from the displayed list. The slide will be displayed with the layout as show on the next page.
  • Click on the icon which represents a media clip as shown in the figure.
  • The Insert video dialog box will open.
  • Locate and select the desired movie clip and click on the Insert button.

23. Write steps to insert audio  clip in a presentation?

ADDING AUDIO FROM A FILE

  • Select the slide where you want to add an audio.
  • Select the Insert tab, and click on the drop-down arrow of the Audio command in the Media group.
  • Choose the Audio from File option from the drop-down menu.
  • The insert audio dialog box will appear.
  • Locate the audio file on your computer and select the required file.
  • Click on the Insert button.
  • A small speaker icon appears on the slide.
  • It means that the audio file has been added.

INSERTING YOUR OWN SOUND

  • Select the slide where you want to insert the recorded audio.
  • Click on the Audio drop-down arrow in the Media group on the Insert tab.
  • Choose the Ribbon Audio option from the drop-down menu.
  • The Record sound dialog box appears. By default, the sound will be named ‘Recorded Sound’. You can type a new name for the audio recording.
  • Click on the red Record button to start recording , and when you have finished the recording, click on the square stop button.
  • You can use the play button to listen to the recorded sound.
  • Click on OK.
  • A small speaker icon will appear on the slide.

24. Write steps to insert a table in a presentation?

  • Click on the New Slide drop-down arrow on the Home tab.
  • Select the Title and Content Layout.
  • Click on the Insert table icon present on the slide.
  • The Insert table dialog box will appear.
  • Define the number of columns and rows.
  • Click on OK.

24. What is a chart?

Chart is an effective way to display data in a graphical and pictorial form. Charts make it easier to show comparisons and growth, relationship among the values and tends in data. Charts provide an accurate analysis of the information.

25. Explain components of a chart?

  1. CHART AREA : The chart area includes the complete area and all the objects in a chart.
  2. CATEGORY AXIS :category or X-axis is the horizontal axis. The matter that is compared and presented in the chart comes under it.
  3. VALUE AXIS : value axis Y-axis is the vertical axis that is used to plot the values.
  4. DATA SERIES : Data series are the bars, slices or the other elements that show the data values.
  5. CATEGORY NAME : The category names are the labels displayed on the X and Y-axis.
  6. PLOT AREA : The plot area is a window within the chart area. It contains the actual chart itself and includes plotted data, data series, category, and value axis.
  7. LEGEND : It depicts the colours, patterns, or the symbols that are assigned to the data series.
  8. CHART TITLE : It describes the aim and contents of the chart.
  9. GRIDLINES : These can either be horizontal or vertical lines depending on the selected chart type. They extend across the plot area of the chart. Gridlines make it easier to read and understand the values.

26. Write steps to insert a chart in presentation?

  • Click on the Layout button present on the Home tab and select Title and Content layout from the drop- down menu.
  • Select the ‘Click to add title’ placeholder and type “ Monthly Expenses”.
  • Click on the Insert Chart icon on the slide.
  • The Insert Chart dialog box appears.
  • Select the chart type in the left pane, and the sub-types of the selected chart will be reflected on the right pane.
  • Select the Column chart and click on OK.
  • The chart will be displayed with a datasheet that contains the default data.
  • You can replace the default data with your own data. To delete all the data from the datasheet, move the mouse pointer to the Blank button (upper left corner of the column indicators).

27. What do you mean by transition effects?

Transition effects are special effects which are used to enhance the interest of the audience and provide liveliness to your slide show presentation.

There are 3 categories of transition effects, which can be found in the Transition tab: Subtle, Exciting, and Dynamic content :

29. Write steps to insert a chart in presentation?

  • Select the slide on which you want to apply a transition.
  • Click on the Transition tab.
  • The transition to this slide group appears on the ribbon.
  • Click on the more drop-down arrow to display all the transition effects.
  • Click on any transition effect from the displayed choices.
  • The current slide will display a preview of the selected effect.
  • Now select the effect options button to select an effect for the chosen transition.
  • Specify the transition timing by entering the number of seconds or minutes in the Duration box in the Timing group.
  • You can set your presentation to advance on its own and display each slide for a specific amount of time. To do so, uncheck the box next to the On mouse click, click on the After checkbox and enter the amount of time for which you want to display the slide.
  • Click on the Apply to all button to apply the selected effects on all the slides. Otherwise, those effects will be applied on the current slide only.

30. What do you mean by slide animation?

Slide animations are similar to transitions, but they are applied to an individual element on a single slide such as a title, chart, shape, or individual bullet point. The ability to move objects like text, graphics , charts, logos etc., in all directions of the slide is called Animation.

31. Write steps to apply animation in a slide?

  • Open any presentation. Select the object you want to animate.
  • Choose the animations tab and click on the add animation button in the advanced animation group
  • A drop –down menu will appear displaying different options: Entrance, Emphasis, Exit, Motion Paths, etc.
  • Now select any animation effect from the displayed list.
  • The Effect Options field will vary depending on the effect you have chosen (Directions can be from top, across, from right side, bottom, In, Out,and so on).
  • Power Point automatically provides you the preview of animation in the Slide itself.

32. Which feature of  PowerPoint allows the user to add liveliness to the presentation ?
